Filters and segments

Limit a report to part of your data with filters, load a saved segment, save your own or create one by describing what you need to AI.

A filter is a condition that limits the data of a report. For example "billing country equals France" or "total amount is greater than 100". A segment is a set of filters saved under a name, which you can reload into any compatible report and reuse elsewhere in Fullmetrix.

Filters answer questions finer than totals, for example the revenue of your trade customers, the products sold with a promo code or the share of your orders shipped abroad.

Filters apply to the subject of the report

Each report filters the type of item it shows. The Dashboard, Revenue and Orders filter orders. Products filters products, Customers filters customers, Carts filters carts, Coupons filters coupons, and so on. The list of available fields therefore changes from one report to another, and a segment created for orders only appears in reports that show orders.

Two locations depending on the report

On the Dashboard, the e-commerce Overview, Revenue, Cart analysis, Cohorts and Forecasts, the Filters button sits in the page header, to the left of the store selector.

Click it to open the list of segments. When a segment is loaded, the button takes its name and two small buttons appear to its right. The pencil opens the editing window (Edit filters, or Edit segment for a segment you created). The cross (Clear filters) removes everything.

On the Dashboard, the list also offers Create a segment, which opens an empty window to build your filters. On the other reports of this group, load an existing segment first, then edit it with the pencil.

Add a filter

Choose the field

Click Add a filter. A list of fields opens, sorted into sections such as Amounts, Dates, Customer, Location, Payment or Shipping. The number of fields in each section shows next to its name.

Type a few letters in Search for a field... to find a field quickly. The number of results shows under the search. If nothing matches, the list says No field found.

Your custom fields, if your store has any, appear in the Custom fields section.

Choose the operator

A filter row appears with the chosen field, an operator and a value. The operator says how to compare. Fullmetrix offers the ones that make sense for the field.

Enter the value

Type the value, or pick it from the list offered. For a country, a status or a payment method, Fullmetrix suggests the values actually present in your data. For a relative date such as in the last, pick a number and a unit, for example 30 days.

Apply

Click Apply. The button shows the number of filters. Until you apply your changes, Unapplied changes shows and the report keeps the old numbers.

To remove a filter, click the cross at the end of its row. To remove everything at once, click Clear filters.

Combine several filters

When one condition is not enough, add more.

Inside a group, filters are joined by and or by or. The Combine with setting, at the top of the group, switches between AND and OR.

  • With AND, an order must meet every condition. For example "country equals France" and "amount is greater than 100".
  • With OR, one condition is enough. For example "coupon is set" or "discount is greater than 0".

For finer rules, click Add a group. Each group is a separate card. Between two groups, an AND or OR selector says how the groups combine. You can then write "(France and over €100) or (Belgium and over €150)". The trash icon at the top of a group deletes it.

Load a segment

Click Load a segment, or Filters in the header. The list has two sections.

  • Suggested groups ready-made segments provided by Fullmetrix, for example Successful orders, Large carts, With discount for orders, or Out of stock and Best sellers for products. Their description shows under their name.
  • Personal groups the segments created in your organization.

Type in Search... to filter the list. Click a segment to apply it. Its filters show and the report updates, with the Segment label followed by its name. If you then change a filter, modified appears next to the name.

If no segment exists yet for this type of data, the list shows No segment.

Save your filters as a segment

Once your filters are ready, click Save as.... If you started from one of your segments, the button is called Update and replaces its filters.

The Save segment window asks for a Name and a Description (optional). If stores are chosen in the selector, the Include selected store scope checkbox adds those stores to the segment's criteria. Uncheck it for a segment valid on all your stores. With OR logic between groups, the selection cannot be added automatically, so add an E-commerce source filter yourself.

Click Save. The segment now appears in Personal, for you and your team, and on the Segments page, where you can manage it and use it for your audiences.

Create a segment with AI

If you do not know which fields to pick, describe what you need in plain language.

Open the window

Click Create with AI, above the table or in the filters window. The Create a segment with AI window opens.

Describe what you are looking for

Describe the audience or products to target, for example "VIP customers inactive for 60 days" or "orders over €150 shipped to Belgium". The text needs at least 8 characters to enable the button.

Generate and check

Click Generate. The button shows Generating... while it works. The suggested filters then show in the panel, without being saved. Read them, adjust them if needed, then click Apply and, if you like the result, Save as.... The name and description are already filled in.

If the AI could not translate your whole request, the Segment applied with adjustments message explains what it left out. If generation fails, rephrase your request more simply.

The Create with AI button does not appear

You first need to connect an AI provider in Settings, Integrations tab, AI assistant category. See AI providers.

What filters do not change

Filters add to your calculation rules, they do not replace them. An order whose status is excluded in Settings, Reports tab, stays excluded even if your filters target it. Filters do not change the period or the chosen stores either.

Filters are specific to the page. When you switch reports or reload the page, they are cleared. To get a scope back, save it as a segment.

Other reports

Google Analytics, Search Console and Google Ads reports have their own quick filters in the header, such as All devices, All countries or All users. They are described on each report's page, for example Google Analytics or Google Ads.
