Exports
Export your orders, customers, products and other lists to CSV, send them by email, to Slack or to Google Sheets, and schedule recurring exports.
An export turns a Fullmetrix list into a CSV file. This format opens in Excel, Numbers, Google Sheets or any other spreadsheet. You can download the file, send it by email, post it in a Slack channel, write it to a Google Sheet, or schedule it to be sent automatically every day, week or month.
There are two ways in.
- The export button at the top of each table, to export what you are looking at, with your filters.
- The Exports page, in the Tools group of the sidebar, to create a recurring export and follow all your exports.
Export from a table
The export button sits at the top of these lists. Orders, Customers, Products, Variations, Categories, Brands, Suppliers, Characteristics, Coupons, Refunds, Carts, Stock velocity and All contacts.
Its label tells you what will be exported, for example Export 1,248 orders. The number takes into account every active filter, the selected period, the applied segment and the selected stores. The export contains all those rows, not only the page on screen.
Open the export panel
Click the export button. The CSV Export panel opens on the right. It shows the number of rows and the type of data.
Choose the columns
By default, the export uses the columns shown in your table. To pick others, turn on Customize export columns. The Columns list shows how many columns are ticked, for example "12/48 columns selected". Open it, search with Search for a column..., then tick or untick. Columns are grouped by theme, and ticked ones move to the top.
If you already saved a recurring export on the same type of data, Load from saved export reuses its columns in one click.
Choose what to do with the file
Five actions are offered at the bottom of the panel. They are described below.
Download the file
Click Download. Your browser saves the CSV file.
When the list holds many rows, the button becomes Prepare export. The panel then explains that the export will be prepared in the background. Once ready, it appears in the Recent exports tab of the Exports page, where you download it.
Send by email
Click Send by email, choose the recipients, then click Schedule send. You can choose Entire team, tick members, or add an outside address. The delivery is prepared in the background and you follow it in Recent exports.
Send to Slack
Click Send to Slack, tick one or more Slack channels, then Schedule send. The button stays greyed out until Slack is connected. See Slack.
Write to Google Sheets
Click Google Sheets. The panel shows an email address after "Share your Google Sheet with this address (as editor)".
Share the sheet
Copy the address with the copy icon. In Google Sheets, open your sheet, click Share, paste the address and give it the Editor role.
Point to the sheet
Paste the sheet address into Google Sheet URL or ID.
Choose the write mode
New tab per execution adds a tab on every send and keeps the history. Overwrite sheet replaces the content on every send, handy for a dashboard that always reads the same sheet.
Send
Click Schedule send.
If the delivery fails, it shows as Failed in Recent exports. Then check that the sheet is shared with the address shown, with the Editor role.
Create a recurring export
Click Recurring export to receive this same export automatically. The form is described in the next section. The recurring export keeps the table's active filters at the time you create it.
Schedule a recurring export
A recurring export goes out on its own at the pace you choose. You create it from the Recurring export button of a table, or from the Exports page with New export.
Start the creation
On the Exports page, click New export. Pick the type of data among Orders, Customers, Contacts, Products, Refunds, Variations, Categories, Brands, Suppliers, Coupons and Carts. The window switches to Configure export.
Limit to a segment if needed
If you created segments on this type of data, the Segment list appears. Pick a segment to export only its rows, or leave No segment. To create a segment, see Segments.
Choose the columns
Turn on Customize columns to choose the columns. Otherwise Fullmetrix uses the default columns for this type of data.
Set the pace
Fill in the Export name, for example "Weekly product export". Choose the Frequency, Daily, Weekly or Monthly. Depending on the frequency, choose the Day of the week or the Day of month, then the Hour.
Choose the recipients
In Recipients, choose Entire team, tick members or add outside addresses. Tick Also send to Slack to post the file in Slack channels too. Tick Also send to Google Sheets to write it to a sheet, with the same sharing as above.
Set the options
Three boxes complete the delivery.
- Include a summary adds a sentence with the number of exported rows to the email.
- Send even if empty sends the email even when no row matches. Without it, nothing goes out on those days.
- Attach CSV attaches the file to the email. This box is ticked by default.
Create
Click Create recurring export from the Exports page, or Create from a table. Export created confirms it.
The email shows your organization name, the export name, the type of data and the number of rows, with the CSV file attached if that option is ticked.
The Exports page
The Exports page gathers all your exports in three tabs. The Search... field filters the open tab by name.
Saved exports
This tab lists the organization's recurring exports.
| Column | What it shows |
|---|---|
| Name | The export name |
| Resource | The type of data exported |
| Recipients | Entire team or the number of recipients |
| Frequency | Daily, Weekly or Monthly |
| Status | Active if the export runs on schedule, Inactive if it is paused |
| Actions | Send now, Edit and Delete |
Send now triggers an immediate delivery, without waiting for the next scheduled time. Edit reopens the form to change the columns, the pace or the recipients. Delete asks for confirmation, then removes the export and all its history.
My subscriptions
This tab lists the recurring exports whose recipients include your email address. That address is shown at the top of the tab.
The Deactivate button pauses the export, which becomes Inactive. Activate restarts it. Pausing applies to the whole export, so to all its recipients. If you only want to stop receiving it, ask its author to remove you from the recipients instead.
Recent exports
This tab keeps a record of every export run, downloaded or sent.
| Column | What it shows |
|---|---|
| Name | The export name |
| Resource | The type of data |
| Size | The number of rows, In progress while it is being prepared, or Failed |
| Method | Download, Email, Slack, Google Sheets, Recurring, Queued or Failed |
| Date | When the export ran, for example "5 min ago" |
| Actions | The Download button to get the file |
This is where you pick up a large export prepared in the background.
